SE & EP cancellations
Hello ,how are you doing .I’m Noha ECB Chair of AIESEC in Bulgaria 2021.2. In this article we will go deeper into the case of cancellation and who is responsible to compensate in terms of situations between EP&SE according to phases, if you are interested to know more, keep reading till the end.
When we request a cancellation of approval?what will happen after the request ?
We have 3 scenarios;
-if an Exchange Participant doesn't have the criteria to be qualified so ;
SE finds a replacement EP within two (2) weeks of the APD Break date and gets that EP Realized maximum of one (1) month after the original RE date, or pays OP expenses expressed in OP's contract with HE.
Reimbursements are only allowed with receipts proving the expenses were incurred.
-if there is a family emergency, Health issues, Legal Issues: No liability if the proof provided
SE finds a replacement EP within two (2) weeks of the APD Break date and gets that EP Realized maximum of one (1) month after the original RE date, or pays OP expenses expressed in OP's contract with HE.

-if case of the borders between the country of departure and the country of destination is closed for the scope of the exchange program so;
find another opportunity in another entity or for another date of realization suitable to the EP within 2 weeks
Reimburse the program fee to the EP.
When we request a cancellation of realization to completion ?what will happen after the request ?
We have 2 scenarios ;
-if an Exchange Participant doesn't have the criteria to be qualified so ;
SE pays OP expenses expressed in OP contract with HE
It's recommended SE also to find a replacement EP within one (1) week.
-If EP ends RE earlier because of family emergency, health issues, legal Issues: No liability or responsibility if proof provided.
but if it is another issue so; It is suggested that also SE finds a replacement EP. If not possible, SE shall cover OP costs covered by OP contract with HE
Also we can’t forget that there is Remote duration cancellation from the EP,the AIESEC SE is responsible to:
- Update the AIESEC HE and explain the situation.
- Find an EP replacement for the OP within two (2) weeks from the date of the remote duration and approval cancellation.
- Ensure the EP replacement for the OP to have remote duration start maximum one (1) month after the remote duration cancellation date, unless the OP agrees to another date.
- If these clauses are not met, the AIESEC SE is responsible for covering the expenses expressed in the OP's contract with the AIESEC HE.
How to submit a request
To request this status, the ECB Chair shall submit to ICB
via (aies.ec/CustomerSupport)
It is recommended to take a look on compensation table annex 2 Link to compensation table that describes possible situations not only related to SE & EP but also that would Opportunity Providers (OP) and HE receive compensation in the event an exchange is not approved, realized or completed.
