How to proceed with JD issues?
The objective of this article is to explain to you what the Job description is, what you must take into account to evaluate if JD is fulfilled, how to proceed in case your JD is not fulfilled at 50% as it is in the opportunity, and what clauses are valid for a complaint about the JD.
First, let's remember that the Job description is the activities that the EP will carry out during his exchange in HE, these activities are essential to review with the OP, to ensure that they will be carried out and the responsibilities that the EP will have with the OP should be included. The HE must establish these activities in the opportunity of the AIESEC platform. Within the responsibility of the Hosting Entity is to make sure that those activities that they established in the opportunity are actually carried out. To assess whether the JD is being met, it is important that you identify point by point the activities mentioned in the opportunity.
If the JD does not match at least 50% in YOP during RE:
- It is important that if you are an Exchange Participant, you contact HE to comment on this problem and act proactively to find a solution during the RE. We suggest that you have proof of the activities you are doing to be able to compare them with those that are established in the opportunity and the proofs of communication with OP, SE, HE.
- If you are a Hosting Entity, we suggest that you have an alignment space between the EP and the OP to be able to fulfill what was promised and have. In case, it is confirmed that the JD has not been fulfilled at least 50% and this problem has been communicated without any solution, then HE must apply the corresponding compensation of full reimbursement of EP expenses.
- If you are a Sending Entity, remember that it is your responsibility to guide EPs to act proactively and report any complaints during the RE, and follow the CSF. Make sure that there is communication with HE since they must know the problem to be able to solve it.
The standard that is violated is 2.6.3.11. Job Description: The AIESEC HE must ensure that the job description executed by the EP corresponds with the job description of the opportunity described on the AIESEC platform. The HE must have clearly stated individual responsibilities and goals to the OP.
What if the problem about the JD was never reported, until the RE Break? In case HE receives EP or SE complaints after RE Break, HE is not liable.
Remember that it is important to check the compliance with exchange standards, therefore, we suggest you use a google form so that you are always aware during the REs that their JD is being fulfilled each week. It is important that HE has alignment Spaces with OP, in the form of a group or individual meeting, to align the Job Description with personal goals at the beginning of the experience and one space to debrief on the Job description and personal goals at the end of the internship.
